Update:

This document forms part of the vendor application and booking process for Newark Card Show (the “Event”). Submission of a vendor application and payment of table fees constitutes agreement to the terms below, in addition to the Event’s Terms & Conditions and 
Privacy Policy.

1. Vendor Application

  • All vendors must complete a vendor application form to be considered for a table at the Event.

  • Submission of an application does not guarantee acceptance.

  • The Event reserves the right to accept or decline applications at its sole discretion.

2. Table Booking & Payment

  • Vendors will need to pay for their tables in full to secure their spot.

  • Table prices, sizes, and availability are as advertised at the time of booking.

  • Tables are allocated by Event management and may not be moved without approval.

3. Cancellations & Refunds

  • Vendors who cancel their booking prior to the Event will receive a refund in accordance with the Event’s refund policy.

  • Vendors who fail to attend the Event without prior notice will be treated as no-shows and will not receive a refund.

4. Setup, Trading & Teardown

  • Vendors must comply with all setup and teardown times communicated by the Event.

  • Vendors must trade for the full duration of the Event.

  • Early teardown without approval may result in exclusion from future events.

5. Merchandise & Trading Standards

  • Vendors may only sell authentic, legally obtained items.

  • Counterfeit, altered, or illegal items are strictly prohibited.

  • Vendors are responsible for ensuring compliance with all applicable consumer protection and trading standards laws.

6. Conduct & Professionalism

  • Vendors must conduct themselves in a professional, respectful, and courteous manner at all times.

  • Behaviour that is disruptive, abusive, aggressive, or likely to bring the Event into disrepute will not be tolerated.

  • The Event reserves the right to remove vendors who breach this clause, without refund.

7. Security, Risk & Insurance

  • Vendors are solely responsible for the security of their own stock, cash, equipment, and personal belongings.

  • The Event accepts no responsibility for theft, loss, or damage to vendor property.

  • Vendors are strongly encouraged to carry their own public liability and property insurance.

8. Cleanliness & Venue Care

  • Vendors are responsible for keeping their trading area clean and tidy.

  • All rubbish must be placed in designated bins and removed at the end of the Event.

  • Vendors are liable for any damage caused to the venue by them or their equipment.

9. Vendor Bookings & Transfers

  • Vendor bookings are subject to approval and are non-transferable.
  • Sharing any booking link with a third party who has not completed the official vendor application form and received approval is prohibited.
  • Payment alone does not constitute approval or acceptance as a vendor. Any booking made in breach of the vendor application and approval process will be deemed void and no refund will be issued.

10. Tax & Legal Compliance

  • Vendors are solely responsible for their own tax affairs, including compliance with HMRC requirements.

  • Vendors must comply with all applicable local, national, and regulatory requirements.

11. Data Protection

  • Personal data provided by vendors will be processed in accordance with the Event’s Privacy Policy.

  • Vendors acknowledge that their details may be used for Event administration and communications.
